Introduction
To process your booking/enquiry we need to collect personal
details about you and all the children on your booking. We will respect and
protect your privacy at all times. This policy sets out how we will collect,
use and store any personal data about you and your child(ren).
By creating an account with us, you are agreeing to us
storing and processing this information as set out below. You are responsible
for ensuring you have the agreement from all persons on your account and
booking to pass on their details to us.
Scope
This document supersedes all earlier versions and is
designed to meet the requirements of the General Data Protection Regulation
(GDPR). These combined rights cover the safeguarding of personal data,
protection against the unlawful processing of personal data and the
unrestricted movement of personal data within the EU. It should be noted that
GDPR does not apply to information already in the public domain.
Who we are
Camp Horizons (company number: 10117530), is registered in
England. Camp Horizons specialise in the provision of child care day camps in
the summer holidays. For the purposes of the General Data Protection Regulation
2018 (GDPR) we are the Data Controller and when carrying out certain
contractual responsibilities on behalf of third parties, the data processor.
Use of Personal data
Camp Horizons will collect and store personal data which you
provide us with in order to fulfil our obligations for a booking or service you
have purchased from us; or to contact you with regards to employment or manage
your data if you are an existing employee. If you give consent, we will also
communicate with you our news, special offers and other content where you have
expressed an interest, using your chosen method/s of opt in contact. Camp
Horizons will also store and collect your basic personal information for the
purposes of marketing; we will only make contact with you using the methods you
have agreed to and in regards to content you have requested.
The data that we directly collect from you will be stored on
our servers inside the UK, however any website analytics processed by Google
may be held outside the EEA in accordance with the EU-US Privacy Shield.
Camp Horizons does not broker or share your data with third
parties unless this is needed to fulfil our legal, contractual and/or marketing
fulfilment. We will not collect any personal data from you that we do not need
in order to provide or manage the services outlined. At all times Camp Horizons
will take all steps reasonably necessary to ensure that your data is treated
securely and in accordance with GDPR and other data protection legislation.

to operate our business and which does not impact on the freedom or rights of
customers
The information we
collect
Camp Horizons receives and stores information you enter on
our website or via our booking website, provided by Kids Club HQ, or give us
via telephone or email. This includes information that can identify you
("personal information"), and may include your first and last name,
telephone number, postal and email addresses. If you enter into correspondence
with us regarding a booking, enquiry or complaint, we may also keep details of
that correspondence. You can choose not to provide information to us, but in
general some information about you is required in order for you to register an
account; purchase products; participate in a survey, competition or promotion,
sign up for a newsletter, apply for a job or ask us a question.
We will also collect and store personal data in order to
fulfil our legal responsibilities in the reporting of accidents, incidents and
safeguarding concerns and to help us in our future management of these risks.
This information may include full name, address and occupation of
injured/involved person; date and time of accident/incident; location of
accident/incident; cause and nature of injury/incident; name, address and
occupation of person giving notice, if other than the injured/involved person.
Cookies
Our website uses cookies. Some cookies are essential and are
there to enable you to make your booking and transact, others are non-
essential and are used to track visitor behaviour on the site, determine
relevant products to show you for re-marketing purposes, track where visitors
have come from or to improve user experience. Cookies are not harmful and do
not contain any personal information e.g. address or DOB. You can choose to
accept or decline cookies when you first visit the site by accessing the
preference panel from your browser’s main menu (usually found under Edit, Tools
or Options). If you choose to remove cookies, some of our site may not function
properly for you and your use of the site may be impaired.
We may collect details about your device and visits to this site
including IP address, browser type, device type, page interaction information,
traffic data and location information. This is statistical information to help
us provide the best online experience for our customers and does not identify
any individual.
Sometimes we use content from other websites including
Google maps, Google Adwords, Youtube, Facebook, Instagram, Linkedin and
Twitter. These sites also use cookies, so by accessing this content you may
also be sent cookies from these sites. You can check these individual websites
for further information on the cookies they use.
If you would like to opt out of targeted online advertising

This site lists many networks not just those associated with Camp Horizons and
opting out will only apply to the web browser on the device you are using at
the time. If you choose to turn off online behavioural advertising you will
still see advertising on the internet, however, it will not be tailored to your
likely interests or preferences.
Email communications
We want to make it easy for you to understand what Camp
Horizons has to offer in future. One way we do this is by sending you email
messages that contain information about our programme. For example, we may send
you an email or contact you if you have attempted to make a booking. Please
note that you will have the opportunity to choose not to receive these email
messages in any such email we send.
We may also share
your information
When we believe it is appropriate to investigate, prevent,
or take action regarding illegal or suspected illegal activities; to protect
and defend the rights, property, or safety of Camp Horizons, the website or
users of the website; and in connection with our Terms of Use and other
agreements.
In the event of an emergency, such as your child or pupil
being taken ill whilst in our care, we may share information that you have
provided us regarding your child including medical information, as well as your
personal details with members of the emergency services or medical
professionals. Your rights and choices with respect to the collection and use
of your information will be respected at all times.
Unsubscribing from
marketing activities
For the purposes of marketing, Camp Horizons is relying on
consent and/or legitimate interest. You can exercise your right to change your
preferences at any time to prevent such processing by checking certain boxes on
the forms we use to collect your data. You can also exercise the right to
unsubscribe from these activities at any time by contacting us via phone,
email, the website, or by clicking 'unsubscribe' in the footer of any of our
emails.
Updates to our
privacy notice
We may update this privacy notice from time to time, each
version has a sequential version number to enable you to identify the latest
version. Your continued use of this site will constitute your agreement to any
changes we may make.
Data security
Once data is received, we will take all reasonable steps to
ensure your data is secure to prevent unauthorised access to it. All
information you provide is stored on secure databases, our IT systems are
password protected, hard copy information at camp is held in lockable
containers and all payment transactions are encrypted. Where we have given you
(or where you have chosen) a password which enables you to access our booking
site, you are responsible for keeping this password confidential. We ask you
not to share a password with anyone. You can change your password if you
believe that your personal security may have been compromised.
Unfortunately, the transmission of information via the
internet is not completely secure. Although we will do our best to protect your
personal data, we cannot guarantee the security of your data transmitted to our
site; any transmission is at your own risk.
Data subject rights
Your rights as a data subject
At any point whilst Camp Horizons is in possession of or
processing your personal data, all data subjects, as per GDPR, have the
following rights:
Right to be informed: organisations must tell individuals
what data is being collected, how it’s being used, how long it will be kept and
whether it will be shared with any third parties.
Right of access: individuals have the right to request a
copy of the information that an organisation holds on them.
Right of rectification: individuals have the right to
correct data that is inaccurate or incomplete.
Right to be forgotten: in certain circumstances, individuals
can ask for the data an organisation holds on them to be erased from their
records.
Right of portability: individuals can request that
organisation transfer any data that it holds on them to another company.
Right to restrict processing: individuals can request that
an organisation limits the way it uses personal data.
Right to object: individuals have the right to challenge
certain types of processing, such as direct marketing.
Right related to automated decision-making including
profiling: individuals are free to request a review of automated processing if
they believe the rules aren’t being followed.
In the event that Camp Horizons refuses your request under
rights of access, we will provide you with a reason as to why, which you have
the right to legally challenge.

To access what personal data is held, identification will be
required
Camp Horizons will accept the following forms of ID when
information on your personal data is requested: a copy of your driving licence,
passport, birth certificate and a utility bill not older than three months. A
minimum of one piece of photographic ID listed above and a supporting document
is required. If Camp Horizons is dissatisfied with the quality, further
information may be sought before personal data can be released.

Compliance complaints
In the event that you wish to make a complaint about how
your personal data is being processed by Camp Horizons, you have the right to
complain to Camp Horizons. If you do not get a response within 30 days you can
complain to the ICO.
